Overview

The Infopoint Media Library is one of its core functional areas allows teams to maintain and manage their various digital media objects.

You can store any kind of file in your Media Library, including photographs, images, audio files, video files, and documents. Note that any file that you want to use for whatever purpose within the platform must be uploaded first in the Media Library.

Seeing the list of all Media Items

To see your list of Media Items, click on the 'Media Library' option from the top navigation bar. A list of all media items will appear as a table on the page.

Filtering through your files

At any point in time you may have hundreds of files stored within your Media Library. The Infopoint platform allows you to assign categories and tags to your files, and then provides you with functionality to filter through your files to quickly find what you are looking for.

At the top of your list of Media Items, you will find a set of filters as well as a search bar at the top right hand side of the screen. Type in the Search bar to search through your files based on the file name. Click on any of the available filters to filter through the files based on the available options. The filters available to you are:

Exporting a list of all your files in Excel

You can export a list of all files within your library together with the information associated with each file (file type, file size, file name, etc.). Simply click on the Export button at the top of the screen to download a .csv file of all your media items.

Adding files to the library

To upload new files to the Media Library, click the Upload button at the top left of the screen.

In the 'Upload Media Items' screen that you are navigated to, click on any of the tabs 'Images, 'Audio', 'Video', 'Documents', and then the 'Upload file' button, to select files from your computer to upload to the library. You can select multiple files, that will be added to the Media Library in a batch rather than one by one.

Each file in the library can have a number of properties associated with it. In the same 'Upload Media Items' screen, select the 'Batch Job Details' tab, to define details to be associated to all files uploaded in the batch, such as the categories, tags, licenses, and copyright statements to associate with the files.

After defining the details to associate with the files in the batch in this screen, click the Save and close button. All files uploaded in this batch will be added to the Media Libary, with the defined details associated with all files.

The details that can be associated with a file are optional and presented below:

Editing Media Item details

To edit the details of any Media Item, simply click on the Item from the list, make any changes in the screen that opens up, and click the Save and close button.

Update files by uploading a .csv file

If you have multiple files whose details you need to upload, you can import those details by uploading a .csv file that you prepared in Excel or any other program that allows you to work with .csv files.

Start by exporting the details of your Media Items as a .csv file, by clicking the 'Export' button. A .csv file will be generated and downloaded on your computer, which you can then import into an Excel file. The details of each individual Media Item file will be shown as rows in the spreadsheet, whereas the details of each individual file will be shown as columns in the spreadsheet.

If you have selected to support multiple languages in your team, the details of each file will appear as multiple rows in the spreadsheet, with each row representing a language specific version of the details of the file. Column A, 'Language', shows the indicator that determines which language version of the file the row represents.

Each media item has an internal ID value that is shown in column B. Do not change this value when editing the .csv file within Excel.

Update the details of your Media Items in this Excel file.

When defining details such as the title and description of the file, make sure you do not include the ; character in any value.

Delete the columns 'Created at' and 'Updated at', as these can affect the import process.

Save the file in Excel, selecting to save it in the .csv format.

Once you have prepared a .csv file in this way click the Import button from the Media Library page, and select to upload your .csv file. Once the file is uploaded, click the 'Auto match columns' button, and then the 'Import' button in order to import file details.
